The Aid-Chain Initiative is committed to responsible healthcare resource stewardship.

Our Donation Guidelines help ensure that resources accepted into the ACI network are appropriate, safe, useful, and capable of creating meaningful impact for the organizations and communities we serve.

Not every item can or should be redistributed. The goal of these guidelines is to help donors understand what resources may be appropriate for donation and to support a consistent, responsible, and impact-focused stewardship process.

If you are unsure whether a donation may be appropriate, we encourage you to contact us before making arrangements.

Before You Donate

Our Approach

The Aid-Chain Initiative believes healthcare resources should be guided by verified needs, recipient capacity, and responsible stewardship practices.

We evaluate potential donations based on factors such as:

• Safety

• Condition

• Usability

• Remaining useful life

• Community need

• Storage requirements

• Transportation considerations

• Program suitability

• Regulatory and compliance considerations

Submission of a donation does not automatically guarantee acceptance.

All donations are subject to review and approval.

Resources We May Accept

The following categories may be eligible for acceptance, subject to condition, program needs, availability of storage, and organizational review.

Medical Supplies

Examples may include:

• Examination gloves

• Surgical gloves

• Wound care supplies

• Gauze and dressings

• Procedure supplies

• Surgical supplies

• PPE and protective equipment

• Clinical consumables

• Healthcare kits and specialty resources

Items should generally be:

• Unused

• Unopened

• In original packaging

• Properly stored

• Free from damage or contamination

• Within acceptable shelf-life requirements

Durable Medical Equipment (DME)

Examples may include:

• Wheelchairs

• Walkers

• Patient monitors

• Examination equipment

• Hospital beds

• Mobility devices

• Medical carts

• Select diagnostic equipment

Equipment may be evaluated based on:

• Condition

• Functionality

• Age

• Manufacturer support

• Availability of parts

• Safety considerations

• Transportation requirements

• Recipient suitability

Financial Contributions

Financial donations help support:

• Resource recovery

• Logistics and transportation

• Program operations

• Volunteer initiatives

• Community partnerships

• Impact measurement

• Future program development

Mission & Specialty Resources

Examples may include:

• Mission kits

• Clinical kits

• Outreach supplies

• Healthcare education materials

• Specialty project resources

• Community health program materials

In-Kind Services

Professional services may also be valuable contributions.

Examples include:

• Transportation and logistics

• Warehousing

• Technology services

• Marketing and communications

• Legal assistance

• Accounting support

• Photography and video production

• Event support

• Professional consulting

Items We Generally Cannot Accept

To protect recipients and ensure responsible stewardship, ACI generally does not accept certain categories of items.

These may include:

Expired Products

Items that have exceeded manufacturer expiration dates are generally not accepted for redistribution.

Opened Sterile Products

Supplies with compromised sterility or opened packaging are generally not accepted.

Pharmaceuticals

Prescription medications, controlled substances, and most pharmaceutical products are generally not accepted.

Hazardous Materials

Including:

• Biohazardous materials

• Regulated medical waste

• Radioactive materials

• Hazardous chemicals

• Infectious waste

• Sharps and contaminated products

Recalled Products

Items that have been subject to manufacturer recalls or safety alerts may not be accepted.

Damaged or Contaminated Resources

Items that are:

• Broken

• Soiled

• Water damaged

• Mold contaminated

• Improperly stored

• Unsafe for intended use

may not qualify for acceptance.

Donation Review Process

What Happens Next?

Every donated resource follows a stewardship process designed to maximize accountability and impact.

Step 1: Donation Inquiry

Contact ACI and provide details regarding the proposed donation.

Step 2: Resource Review

Our team reviews information about the items, including type, quantity, condition, and suitability.

Step 3: Acceptance Decision

We determine whether the resources align with organizational needs, program requirements, and stewardship standards.

Step 4: Coordination

If approved, pickup, delivery, or transfer arrangements are coordinated.

Step 5: Stewardship & Distribution

Accepted resources are evaluated, documented, prepared, and matched with appropriate programs or community partners.

Donation Standards

Responsible Stewardship Matters

ACI strives to place resources where they can create meaningful and sustainable impact.

Resources may be distributed through organizations that demonstrate:

• A legitimate healthcare or community-serving purpose

• Capacity to effectively utilize resources

• Appropriate storage and handling capabilities

• Responsible resource management practices

• Alignment with ACI standards and values

This approach helps ensure resources reach organizations equipped to put them to work safely and effectively.

Special Guidance for Healthcare Organizations

Hospitals, healthcare systems, surgery centers, clinics, and healthcare manufacturers often have unique donation opportunities.

Potential donation categories may include:

• Surplus inventory

• Unused healthcare supplies

• Facility transition resources

• Equipment replacement assets

• Overstock supplies

• Specialty equipment and materials

We encourage healthcare organizations to contact us early in the planning process so donation opportunities can be evaluated before resources enter disposal channels.

Tax & Valuation Information

The Aid-Chain Initiative is a 501(c)(3) nonprofit organization. Contributions may be tax deductible as allowed by law.

ACI can provide documentation acknowledging accepted donations.

However:

• ACI does not provide tax advice.

• ACI does not determine donor tax benefits.

• ACI does not establish the tax value of donated property.

Donors should consult qualified tax professionals regarding valuation and tax treatment.
